Citewell is a B2B digital knowledge and content software platform. Certain workflows use AI-assisted language-processing technologies to analyse, structure and regenerate written content from seed text, business information, transcripts and other knowledge supplied or approved by users.
Citewell may process user-supplied audio or audiovisual material for transcription and the extraction or development of written knowledge. Citewell does not provide functionality for generating or manipulating synthetic images, video, speech, voices or music.
1. Information We Collect
Depending on how you use Citewell, we may process:
Account and contact information: including your name, business email address, company information, account details and communications with us.
Subscription and transaction information: including subscription status, billing status, transaction references, currency and related information. Payment transactions may be processed by an authorised payment provider or Merchant of Record.
Website and digital-presence information: including website addresses, written website content, business information, topics, questions, keywords and other information relating to digital properties you own or are authorised to manage.
Seed text and business knowledge: including business descriptions, product or service information, factual notes, answers, specialist knowledge and other information supplied or approved for analysis, structuring or regeneration.
Audio, video and transcript information: where you choose to use transcription functionality, Citewell may process audio, audiovisual material, associated metadata and resulting transcripts for the purpose of transcription, analysis and development of written knowledge.
Technical and usage information: including IP addresses, login and access times, browser/device information, system events, errors, feature usage and security records.
Publicly available information: certain analytical functions may reference publicly available information for legitimate research, benchmarking, comparison, question discovery or information-gap analysis.
2. Audio, Video and Generative Media
Citewell's generative and regeneration functionality is principally concerned with written content and structured knowledge.
Where transcription functionality is used, Citewell may process user-supplied audio or audiovisual material in order to create transcripts and identify information that may be developed into written content or structured knowledge.
Citewell does not provide functionality for generating, regenerating or manipulating synthetic images, photographs, video, speech, voices or music.
Citewell does not provide tools for creating deepfakes, face swaps, synthetic likenesses, avatars or voice clones.
3. How We Use Information
We may process information to:
- create and administer accounts;
- authenticate users and protect account security;
- provide website and content analysis;
- operate AI-assisted text-analysis and regeneration workflows;
- transcribe user-supplied audio or audiovisual material where requested;
- analyse and structure customer-supplied or customer-approved knowledge;
- identify questions, topics and information gaps relevant to customer content;
- create reports and other requested outputs;
- administer subscriptions and billing;
- provide customer support;
- diagnose technical problems;
- prevent fraud and abuse;

Citewell does not autonomously publish customer content to the public internet.

Where UK data-protection law applies, Sco Logic Ltd processes personal information using an appropriate lawful basis.

Contract: where processing is necessary to provide the Citewell Service or functionality requested by the customer.
Legitimate interests: including securing and improving the Service, preventing fraud and abuse, providing support, understanding use of the Service and operating our business.

5. AI-Assisted Processing and Human Control
Certain Citewell workflows use artificial-intelligence and language-model technologies to analyse, structure and regenerate written content from information supplied or approved by the user.
Where requested by a user, AI-assisted or automated technologies may also be used in connection with transcription, transcript analysis and the extraction of written knowledge from supplied audio or audiovisual material.
Generated or regenerated written outputs remain subject to human review and editorial control.
Citewell does not use the Service to make solely automated decisions about individuals that produce legal or similarly significant effects.
Where relevant information is processed by third-party AI, language-model, transcription or related technology providers, this is done where necessary to provide requested functionality and subject to applicable contractual and data-protection arrangements.
6. Customer Data and AI Service Providers
Customer business information remains customer data.
Citewell does not sell customer content or personal information to AI providers.
Where Citewell uses third-party language-model, AI or transcription services, customer information may be processed by those providers where necessary to deliver the requested functionality and subject to the contractual data-use terms applying to those services.
Citewell selects and configures service providers with the intention of protecting customer information and limiting its use to the purposes required to provide the relevant service.
7. Sharing Information
Citewell does not sell personal information.
We may share or otherwise make information available to service providers where reasonably necessary to operate Citewell, including providers of cloud infrastructure, databases, authentication, security, language-model processing, transcription, payments, transactional communications, analytics and professional services.
We may also disclose information where required by law or pursuant to a legally binding request from a competent authority.

Some service providers used by Citewell may process information outside the United Kingdom.

Audio, audiovisual material, transcripts and other information supplied for processing may be retained where necessary to provide the requested functionality, maintain associated customer records or support subsequent customer workflows, subject to applicable retention and deletion arrangements.
Certain billing, security, legal or transactional records may be retained after account closure where required or permitted by law.

Following a valid deletion request, eligible information will be deleted or anonymised within a reasonable period, subject to legal, security, accounting, fraud-prevention and dispute-resolution requirements.
Information may temporarily remain within secure backup systems until those backups are overwritten according to normal retention cycles.
